Sr. Executive / Executive (Payroll) under HR & Admin dept.
Responsibilities & Context
Job Purpose
The Executive / Senior Executive – Payroll is responsible for managing and executing the full spectrum of payroll operations at the hospital. This includes ensuring accuracy, timeliness, confidentiality, and compliance with labor laws, hospital policies, and statutory requirements. In addition, the role requires managing employee final settlements, long-term/short-term benefits (Festival Bonus, Profit Incentive, Provident Fund, Gratuity, Welfare Fund, etc.), and preparing reports on payroll analytics and metrics.
Duties & Responsibilities
Payroll Processing
- Prepare and process monthly payroll for all hospital employees, including doctors, nurses, medical staff, administrative, and support staff.
- Calculate salary, overtime, duty allowance, night allowance, incentives, bonuses, arrears, and deductions accurately.
- Ensure payroll adjustments related to leave, attendance, late marks, absence, and shift duties.
- Coordinate with Accounts/Finance for salary disbursement through bank transfer.
Attendance & Data Management
- Collect, verify, and update attendance, leave, roster, and duty information from concerned departments.
- Maintain and update employee payroll data related to joining, confirmation, increment, promotion, transfer, resignation, and termination.
Statutory Compliance
- Ensure payroll compliance with Bangladesh Labor Act and hospital HR policies.
- Manage statutory deductions such as Provident Fund, Gratuity, Income Tax, loans, and advances.
- Prepare salary certificates, tax statements, and support annual tax return documentation when required.
Employee Final Settlement & Long-term Benefits
- Handle employee final settlements, including full and final payment, tax, and benefits calculation for resignations, retirements, and terminations.
- Manage long-term employee benefits such as Provident Fund, Gratuity, and Welfare Fund, ensuring accurate calculation and timely disbursement.
Reporting & Documentation
- Prepare monthly payroll sheets, salary registers, MIS reports, and management reports.
- Maintain proper payroll records, employee files, and documentation for audit and inspection purposes.
- Assist during internal and external audits related to payroll and HR compliance.
Employee Support
- Handle employee queries related to salary, deductions, tax, and payroll discrepancies.
- Ensure confidentiality of employee salary and personal information at all times.
System & Process Improvement
- Operate HRIS / payroll software efficiently and ensure data accuracy.
- Support automation and continuous improvement of payroll processes.
- Assist HR management in manpower cost analysis and payroll budgeting.
